Using Web Folders

Overview

Web Folders allow you to create shortcuts to Web servers that are then accessible from within all of the Microsoft Office 2000 applications.  Web Folders make saving documents to Web servers easier than ever.  [NOTE:  Web Folders are called My Network Places in Windows 2000-based systems.]

Setting up Web Folders
Web folders are new with Office 2000, Internet Explorer 5, and Windows 2000.  They allow you to represent any Web server that you have access rights to as a Web folder that can then be access through the File, Save As/Save As Web Page dialogs in all of the Office 2000 applications. It's like creating a shortcut to a Web server, even though that Web server could be hosted on the Internet by a Web site hosting company. 

As an example, you can go into Microsoft Word 2000, and select Save as Web Page from the File menu, and then see the Web Folders (or My Network Places) icon on the Save As dialog. 


This is a major breakthrough because once you have your Web site set up as a Web folder, you can save and edit documents on your Web server as easily as you save and edit documents from your hard drive or a network drive.
The Web server can be an intranet server, or a server hosted by a Web site hosting company on the Internet.  
 

Web folders can be set up to represent any server that is running the FrontPage 98 or FrontPage 2000 Server Extensions, or the Office 2000 Server Extensions.  

Here is how easy it is to add a site to your Web Folders.  

  1. On the Windows desktop, double-click on My Computer.  
  2. Double-click on the Web Folders icon. (On Windows 2000 systems, instead double-click on My Network Places on the Windows desktop.)
  3. Double-click on the Add Web Folders icon (on Windows 2000 systems this says Add Network Places).
  4. In the Type the Location to Add field, type in the location of the Web server.  When you sign up for Web site hosting on the Internet, you will receive a network address (URL) for your site, a user name, and a password.  For Location to Add, type in the URL you were given (such as http://www.myhostingcompany.com/myname).  Then press the next button.
  5. In the Enter Network Password dialog, enter the user name and password for your server.  Then press the OK button.
  6. In the Add Web Folder dialog box, type a familiar name for this Web folder.  This is the title that appears in the Web folders list.  Then press the Finish button.  Now you can see that the Web folder or Network Place has been added: 

Now that my web site is set up as a Web folder/Network Place, I can access it from any Office 2000 application by its familiar name, and not have to remember long URLs.
